Office Assistant Position

Job Title: Office Assistant (Canada Summer Jobs)
Location: Charlottetown, PEI
Position Type: 9-week contract (Canada Summer Jobs)
Wage: $20/hour plus 4 % vacation pay
Reports to: Executive Director

About: Family Service PEI (FSPEI) provides accessible, compassionate, and trauma-informed mental health support—empowering individuals and families, regardless of income or identity, to thrive. Through therapeutic counselling, financial empowerment, and family support, we help build stronger, more resilient families, relationships, and communities across Prince Edward Island.

Position Summary: FSPEI is seeking a detail-oriented and compassionate Office Assistant to support the daily operations of our Charlottetown office. As the first point of contact for many clients, this role plays an important part in creating a welcoming, inclusive, and professional environment.

This position is ideal for a post-secondary student, graduate or early-career candidate interested in gaining experience in nonprofit administration, mental health services, and client-centered support within a diverse and trauma-informed setting.

Key Responsibilities:

Greet clients with warmth, professionalism, and respect

Answer phone and email inquiries, providing clear and helpful information

Support client intake processes, including scheduling and form completion

Maintain a calm, patient, and supportive presence

Schedule and coordinate appointments for clinicians

Maintain accurate and confidential client records and files

Assist with data entry and database management

Support general office organization and day-to-day operations

Assist staff with program logistics and preparation

Support basic data tracking (appointments, attendance, forms)

Collaborate with team members to ensure smooth service delivery

Qualifications:

Currently enrolled in or recently completed post-secondary education in psychology, social work, administration, social sciences, health, or a related field.

Strong interest in community services, mental health, or nonprofit work

Experience in customer service, administration, or office environments is an asset

Relevant lived experience is an asset

Knowledge, Skills and Abilities:

Demonstrated empathy, patience, and cultural humility

Strong interpersonal and communication skills

Excellent organization and attention to detail

Ability to manage multiple tasks in a fast-paced environment

Experience and competency with Microsoft Office (Word, Excel, Outlook) and digital tools

Ability to handle sensitive information with confidentiality and professionalism

Ability to work with diverse communities using inclusive, trauma-informed, and equity-centered approaches

Comfort working both independently and as part of a multidisciplinary team

Requirements:

The Government of Canada funded this job through the Canada Summer Jobs program. To apply for this job, you must:

Must be between 15 and 30 years of age at the start of employment

Have a valid Social Insurance Number (SIN); and

Be a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada.

FSPEI additional requirements:

Must be a current student or graduate of a post-secondary institution

Available to work for the full 9-week contract period

The successful candidate will require a criminal record/vulnerable sector check
